What to include on a painting invoice

  • Rooms or surfaces painted, and the number of coats
  • Paint brand, product line and color codes
  • Prep work (scraping, patching, priming) as its own line
  • Labor price – by room, by square foot or by hour
  • Supplies and paint costs
  • Touch-up or warranty policy

Painting invoicing tips

  • Quote and invoice by room – homeowners understand it better than square footage.
  • Include color codes on the invoice; customers will need them for future touch-ups.
  • Show prep as a separate line; it justifies the price difference between you and the cheapest bid.
  • Take a 30–50% deposit on exterior jobs to cover paint and weather delays.

Frequently asked questions

How do painters usually charge?

By the room, by square foot of wall area ($2–$6 per sq ft for interiors is common), or by the hour. Whichever you use, list it consistently on quotes and invoices.

Should paint be billed separately?

Many painters include paint in the room price; others bill it separately at cost or with a small markup. Either is fine as long as the quote said so.

Is this painting invoice template free?

Yes. Edit every field, download as many PDFs as you like and print them. There is no sign-up, no watermark and nothing is uploaded to our servers.

How do I save the invoice as a PDF?

Click "Download PDF / Print" and choose "Save as PDF" as the destination in the print dialog. It works on desktop and mobile browsers.
