Quote vs estimate vs invoice – what's the difference?

These three documents look similar but play very different roles in a sale:

DocumentWhen you send itWhat it means
EstimateEarly, before scope is fully knownAn approximate price. The final amount may change.
QuoteWhen scope is clear, before work startsA fixed price offer, valid for a set period. Once accepted it is usually binding.
InvoiceAfter work is delivered (or at agreed milestones)A request for payment of a specific amount by a due date.

Use this generator for both quotes and estimates. If the price is approximate, say so clearly in the terms ("This is an estimate; final cost may vary by up to 10% depending on…"). Once the client accepts, convert the same line items into an invoice with our invoice generator.

How to write a quote that wins the job

  • Break the price down. Clients trust itemized quotes more than a single lump sum. Separate labour, materials, and optional extras.
  • Set a validity period. "Valid for 30 days" protects you from cost increases and nudges the client to decide. The generator defaults to 30 days from today.
  • Spell out what is included – and what is not. Most disputes come from assumptions. Two or three lines in the terms section prevent scope creep.
  • State payment terms up front. Deposit required? Milestones? Net 15? The client should know before they say yes. Our payment terms calculator explains the common options.
  • Number your quotes (QT-001, QT-002…) so you can reference them in the invoice later.

Pricing the work correctly

Before you quote, make sure your rate actually covers your costs and leaves a profit. Many freelancers under-price because they only count the hours spent on the job and forget about admin time, software, taxes and unpaid holidays. Run your numbers through the freelance hourly rate calculator and check your margin with the profit margin calculator.

Frequently asked questions

Is a quote legally binding?

In most jurisdictions a quote becomes binding once the client accepts it within the validity period, because it is a firm offer. An estimate is not binding since it is explicitly approximate. Always check your local rules and state clearly which one you are sending.

How long should a quote be valid?

30 days is standard. Use 7–14 days if your material or supplier costs change often, and up to 60–90 days for large projects with slow decision-makers.

Should I include tax in a quote?

Yes, if you are registered to charge sales tax, VAT or GST. Show it as a separate line so the client sees both the net and gross amount. Use the tax rate field in the generator.

Can I turn this quote into an invoice?

Yes. Open the invoice generator and enter the same line items. Reference the quote number in the invoice notes (for example "As per quote QT-014").
